If We Cancel a Retreat

Effective date: 21/04/2025
We’re so stoked you’re considering joining a Swell Society retreat! Before booking, please take a moment to read through the terms and conditions below. These are in place to protect both you and us, and to ensure a smooth and safe experience for everyone involved.

A non-refundable deposit (30% of the total cost of your booked retreat) is required to secure your spot.
The final balance must be paid no later than 30 days prior to the retreat start date.
Failure to complete payment by the deadline may result in cancellation of your spot without refund of the deposit.

We understand that plans can change. Here’s how cancellations work:
  • If you cancel 6+ months before the retreat: You’ll receive a full refund.
  • If you cancel 3–6 months before the retreat: The deposit is non-refundable. You’ll receive a refund or credit (your choice) for the remaining amount paid, minus the deposit.
  • If you cancel within 3 months of the retreat: No refunds will be issued due to the pre-booked nature of accommodation, transport, and facilitators. In exceptional cases, a partial credit may be offered at our discretion.

You may transfer your booking to a future retreat of equal value up to 30 days prior to the original retreat start date. Transfers are subject to availability and must be for a retreat of the same length/cost. Any price differences must be paid.

If you fail to attend or leave the retreat early, no refunds or credits will be issued. If you are unable to participate due to a medical reason, we require a valid medical certificate for any credit to be considered.
(Please note: this applies to the participant only, not family members.)

All participants are required to obtain comprehensive travel insurance covering:
  • Trip cancellation or changes
  • Medical emergencies
  • Lost or stolen belongings
  • Surf-related injuries and evacuation
  • Scooters/Mopeds
Swell Society takes no responsibility for any costs incurred due to personal loss, injury, travel delays, or medical emergencies. By booking your spot, you agree to secure travel insurance and understand that this responsibility lies solely with you.

By submitting your booking and ticking the liability waiver box:
  • You acknowledge the risks associated with surfing, travel, ocean activities, and physical movement.
  • You accept full responsibility for your participation.
  • You release Swell Society, its team, facilitators, and partners from any and all liability related to injury, loss, or damage during the retreat.

We’re all about community, connection, and respect.
  • We expect all guests to act in a respectful and inclusive manner.
  • Discrimination, harassment, or unsafe behaviour will result in immediate removal from the retreat without refund.

If Swell Society needs to cancel a retreat due to unforeseen circumstances (e.g. low bookings, natural disasters, travel restrictions), you will receive:
  • A full refund, including your deposit, or
  • A full credit toward a future retreat (your choice).

During the retreat, we may capture photos and videos to share our story and inspire future guests. By attending, you agree to the use of your image for marketing purposes. If you prefer not to be featured, please let us know in writing before the retreat.

We respect your privacy and are committed to keeping your personal information safe.
When you book a retreat, join our mailing list, or interact with us, we may collect information like your:
  • Name and email address
  • Payment details
  • Travel preferences
We only use this information to:
  • Manage your retreat booking
  • Send important updates and communications
  • Improve our services and offerings
  • Share marketing content (if you’ve opted in)

We will never sell or share your information with third parties unless required by law or to complete a service related to your booking (e.g. accommodation or activity providers).

You can unsubscribe from our emails anytime and request to view, update, or delete your information by contacting us directly.
